Acceptance of Terms
By booking with Yeg Backyard Cinema, you agree to comply with all terms and conditions outlined in this document. These terms apply to both private customers, businesses and community league organizations.
Booking & Payment
A non-refundable deposit is required to secure your booking. The remaining balance is due on or before the day of your event. We accept cash, debit, credit cards (Mastercard/Visa with 2.9% processing fee), Apple Pay, and e-transfer.
Prices are subject to change. The price confirmed at the time of booking will be honored for that specific reservation.
Client Responsibilities
You are responsible for:
- Providing accurate booking information including address, date, and time
- Ensuring the setup area is clear and accessible
- Providing access to an outdoor power outlet within 50 feet of the viewing area
- Checking weather forecasts before your event
- Providing your own content (movies, streaming subscriptions, or devices)
- Ensuring devices are compatible with our equipment
- Supervising children and guests around all equipment
- Following all safety instructions provided during setup
Equipment Care & Damage
All equipment remains the property of Yeg Backyard Cinema. You are responsible for the reasonable care of all equipment during your rental period.
In the event of rain, you must immediately:
- Cover all electronic equipment with provided tarps
- Unplug all devices
- Contact us for takedown assistance
Failure to properly protect equipment during inclement weather may result in damage charges.
Damage & Loss Policy
Normal wear and tear is expected and will not incur additional charges. However, you will be held financially responsible for any damage, loss, or theft of equipment that occurs during your rental period due to negligence, misuse, or failure to follow instructions.
Damage fees will be assessed based on repair or replacement costs:
- Minor damage (scratches, small tears): $50-$200
- Major damage (broken components, screen damage, projector damage): $200-$6,000
- Total loss or theft: Full replacement value of equipment
An inspection will be conducted during takedown. Any damage will be documented and discussed with you immediately.
Liability & Insurance
Yeg Backyard Cinema carries liability insurance for equipment-related incidents. However, you are responsible for the safety of your guests and property.
You agree to indemnify and hold harmless Yeg Backyard Cinema, its owners, and employees from any claims, damages, or injuries arising from your event, except where caused by our gross negligence.
For community league bookings, proof of general liability insurance may be required.
Setup & Takedown
We will arrive 90-120 minutes before your scheduled start time for setup and return 15-30 minutes after your booking ends for takedown.
You must ensure:
- The setup area is accessible and cleared of obstacles
- Pets are secured during setup and takedown
- Someone 18+ is present during both setup and takedown
Delays caused by inaccessible areas, lack of power, or other client-related issues may result in reduced event time without refund.
Service Area
We primarily serve Edmonton and surrounding areas. Bookings outside this area may incur additional travel fees, which will be communicated before confirmation.
Content & Conduct
You are solely responsible for ensuring all content shown complies with copyright laws and licensing requirements. Yeg Backyard Cinema is not responsible for any copyright violations.
We reserve the right to refuse service or terminate an event without refund if:
- Illegal activity is observed
- Equipment is being misused or damaged intentionally
- Our staff feels unsafe or threatened
- Terms and conditions are violated
Privacy
We collect personal information (name, address, email, phone) solely for booking purposes. We will not share your information with third parties except as required by law.
Modifications to Terms
Yeg Backyard Cinema reserves the right to modify these terms at any time. Changes will be posted on our website and will apply to future bookings. Existing bookings will be honored under the terms agreed upon at the time of booking.
Disputes
Any disputes arising from services provided by Yeg Backyard Cinema will be governed by the laws of Alberta, Canada.
